Custom guest messaging, automated reporting, a small tool that connects two systems that were never meant to talk to each other — the curiosity is a good sign. It means hoteliers are paying attention to where technology could remove friction from daily operations. NOTE: At Softinn, we see an increasing inquiries from both the existing hotel customers and new leads asking abouton API integration and AI-related projects But once the idea moves from "what if we built this" to actually building it, two paths open up: bring in a third party, or build it yourself. Both can work. Both can also go badly wrong. The difference isn't the technology — it's whether you've thought through what you're actually taking on. If You Engage a Third Party The moment you hand guest data to someone outside your hotel, you've made a decision that goes beyond convenience. That data — names, contact details, booking history, sometimes payment-adjacent information — is now sitting somewhere you don't control, maintained by someone you're trusting to get it right. So vet them properly. Not "they seem capable," but real due diligence: - Are they a registered company, or an individual working outside any real accountability? Risk? - What happens to your data if something goes wrong — a breach, a shutdown, a dispute? - Is there a proper data handling agreement, not just a verbal understanding? - If they disappear tomorrow, who is responsible for what they built? An individual freelancer with no business registration and no real accountability is not a v  endor — they're a liability wearing a vendor's hat. If your hotel's guest data leaks because you didn't ask these questions upfront, "we didn't know" won't undo the damage. Vetting isn't paperwork. It's the difference between a partner and a risk you didn't know you were taking. ### If You Build It Yourself This is where most hoteliers get the calculation wrong — not because they lack the skill, but because they underestimate what "building software" actually means. The "only-us" test. Before you build anything, ask one honest question: does this solve a problem specific to your hotel, or is it something every hotel like yours needs? A small internal tool — a script that reformats a daily report the way your GM likes it, a quick automation between two tools you already use — passes the test. It's narrow, low-risk, and only has to work for you. A booking engine, a PMS, or anything that needs to integrate with multiple systems and carries real operational risk if it breaks does not pass that test. That's not a weekend project. That's infrastructure. Software doesn't stop existing once it's built. This is the part that gets missed. An application isn't just the thing that runs — it's the ongoing work behind it: security patches, upgrades as other systems change, monitoring for things breaking silently, and responding fast when something does. Software companies exist precisely because this work never actually finishes. Years of protecting data and systems happen quietly, in the background, without customers ever seeing it — which is exactly why it's easy to forget it's happening at all. The moment you build your own system, that invisible work becomes yours. Not knowing it existed is not a good excuse once you're the one holding the responsibility. Unpatched software isn't neutral — it's a growing security risk, whether or not anyone's watching it get worse. And it pulls you away from the job you're actually here to do. Your hotel's core business is hospitality, not software maintenance. Vibe-coding a small tool to stay sharp and efficient is fine — genuinely fine, even smart. It keeps you productive without asking you to become something you're not. But building your own PMS or core infrastructure is a different order of commitment entirely, and it's the wrong level of effort for a hospitality business to be carrying. Don't build it because you can. Build it because it's genuinely the right scope for you to own — and be honest about the difference. ### Where the Line Sits A simple way to decide: - Narrow, low-risk, solves something unique to your property → building it yourself is reasonable. - Common need, integration-heavy, high operational risk, ongoing security burden → this is a vendor's job — a properly vetted one. This is also where accountable API access matters. The value of working with an established provider isn't just the integration itself — it's that the maintenance, security, and support already exist behind it, instead of resting entirely on your team. > We hold ourselves to the same rule. Not because we couldn't build it, but because CRM is not the "only-us" problem we exist to solve, and running one properly is a full-time discipline on its own.
