# How Hotel Management Systems Cut Daily Hotel Work

A hotel management system, usually called a hotel [PMS (Property Management System)](https://page.mysoftinn.com/en/what-hotel-pms-is-all-about?hsLang=en-my), is the software that runs your daily operations from one dashboard: reservations, check-in and check-out, room status, guest profiles, and reporting.

 \- A **channel manager** syncs your rates and availability across OTAs like Booking.com and Agoda.  
\- A **booking engine** takes direct bookings on your own website.  
\- A **self-service kiosk** lets guests check themselves in.

One point many hotel owners miss: these are separate products that integrate with the PMS, not features hidden inside it. The value comes from the connection. When one part updates, every other part knows.

## Why does manual hotel work cost more than you think?

Labor is the heaviest cost in most hotels, and it is climbing. In the US market, hotel labor cost per occupied room rose 12.8% in 2025, from $42.82 to $48.32, according to [HotelData.com by Actabl](https://actabl.com/blog/hotel-labor-costs-2025/). The rooms division alone often makes up [40 to 50% of total labor spend](https://hoteldata.com/reports/h1-2025-hotel-budget-guide/).

Southeast Asian wage structures are different, so these exact figures do not map directly onto Malaysia. But the direction is the same everywhere: staff time is expensive, and manual work wastes it.

The hidden cost is admin. A global Cloudbeds study of independent hotels found that [four out of five hotels spend one to two full working days every week](https://www.cloudbeds.com/compare/hotel-efficiency-hub/) just compiling reports and reconciling data across disconnected systems. That is a full day of paid time, every week, spent copying numbers between tools.

I believe this is the real problem a hotel management system solves. It is not about having more features. It is about giving small teams their hours back.

## How does a hotel management system speed up check-in?

Front desk check-in is where guests form their first impression, and where queues build fastest. A hotel management system speeds it up in two ways: staff process arrivals faster with guest data already on file, and guests can check themselves in through a self-service kiosk or online.

Demand for this is clear. [Mews-commissioned research](https://www.getlynx.co/hotel-contactless-check-in-how-to-eliminate-front-desk-delays-and-impress-guests/)of 2,000 US travellers found 70% would rather check in by app or kiosk than queue at a front desk, rising to 82% among Gen Z. The survey is US-based, but the pattern of guests wanting to skip the queue is one we see in our own market too.

This is where our own numbers come in. Softinn product data shows self-check-in can cut lobby queues by 65.7%. One of our clients, Fenix inn Hotel, Melaka, runs a hybrid kiosk so guests can check themselves in while staff stay free for the arrivals who need a hand.

For a small hotel, the win is simple: fewer people stuck at the desk during the afternoon rush, and staff freed to handle the guests who actually need help.

## How does it close the gap between housekeeping and the front desk?

The front desk needs to know which rooms are ready. Housekeeping needs to know which rooms to clean first. Without a shared system, that coordination happens by phone, radio, or walking up and down stairs.
